Operations & Admin Executive

Ipoh, Perak | Mon–Fri + Sat (rotation) | Operations | RM2,200 – RM3,800 + KPI bonus (Intern Available)

About this role

AON Renovation & Maintenance has delivered over 800 completed homes across Perak since 1990. We're now building the operational systems to match the quality of our craft , and this hire is the keystone. We're looking for an Operations & Admin Executive who will own AON's end-to-end job lifecycle: from the moment a lead enquires on WhatsApp, through subcontractor scheduling, through to the final invoice and filed job record. This is not a data-entry role. You will be the operational backbone of a growing renovation company, working directly with the founding team. Your work will be felt on every job we run.

Responsibilities

Quote & Lead Follow-Up

  • Execute a structured follow-up cadence (Day 3, 7, 14) on every open quotation.

  • Maintain quotation status tracking in Notion , nothing falls through the cracks.

  • Flag high-priority or time-sensitive leads for founder escalation before they go cold.

Job Scheduling & Subcontractor Coordination

  • Confirm subcontractor availability and assign jobs based on scope and capacity.

  • Schedule client appointments and site dates with zero scheduling clashes.

  • Track job progress and flag delays before they become problems.

Client Communication (WhatsApp-First)

  • Respond to client enquiries using AON's prepared message templates.

  • Issue appointment confirmations, job updates, and payment reminders.

  • Maintain response time below 30 minutes during working hours, consistently.

Documentation & Filing

  • Organise all site photos into Google Drive following AON's naming and folder protocol.

  • Ensure every completed job has a full, audit-ready documentation record.

  • Maintain clean and retrievable filing across all active and closed jobs.

Invoicing & Payment Tracking

  • Issue invoices on the same or next business day after job completion (Working Hours).

  • Track payment status and follow up on outstanding balances proactively.

  • Maintain records aligned with Malaysia's 2027 mandatory e-invoicing requirements.

Qualifications

Basic Requirements

  • Diploma or Degree in Business Admin, Management, or equivalent.

  • Strong written communication in English, Bahasa Malaysia and Chinese.

  • Proficient with WhatsApp Business, Google Drive, basic spreadsheets.

  • Highly organised with strong attention to detail.

  • Fresh graduates welcome if organisational skills are strong.

Preferred Skills

  • 1–3 years in admin, property management, service ops, or client coordination.

  • Experience coordinating subcontractors, technicians, or field teams.

  • Familiarity with Notion, task management, or basic CRM tools.

  • Background in property, clinic, logistics, or service coordination.

  • Mandarin or Cantonese communication (valued, not required).

Compensation

(Intern) Duration 3 – 6 months Flexible to academic schedule - Monthly RM600 – RM900 Based on hours & contribution.

Entry (0–2 yrs) - RM2,200 – 2,800 per month

Mid-Level (2–4 yrs) RM2,800 – 3,500 per month

High-Performer RM3,000 – 3,800 per month

+ KPI Bonus: RM200 – RM900/month tied to response time, job accuracy, and collections. Annual increment based on performance. This role directly impacts revenue, underpaying creates false economies.

Additional Requirements
  • Based in Ipoh, Perak or willing to relocate — physical presence is required.
  • Available Monday–Friday 9:00 AM – 6:00 PM; Saturday 9:00 AM – 1:00 PM (rotation).
  • Comfortable with occasional after-hours WhatsApp monitoring during active jobs.
  • Strong self-discipline, you will manage your own task load without micromanagement.
  • Structured and process-driven; not suited to roles requiring loosely-structured creative work.
